Problem: Configuring Outlook 2003 to use OIT Zimbra

Solution:

WARNING: The TSO Help Desk supports only the configuration of Outlook for the specific purpose of connecting to GA Tech servers. For problems or questions concerning its use, please consult the application's Help menu or Microsoft's web site.


  1. Start Outlook
  2. On the Tools menu, choose E-mail Accounts…
  3. Choose "Add a new e-mail account" and click Next >

  4. Choose to add settings for an IMAP (or POP3) account and click Next >

  5. Enter "imap.mail.gatech.edu" as the Incoming mail server (or if you chose POP3 above, enter "pop.mail.gatech.edu") and "smtp.mail.gatech.edu" as the Outgoing mail server, then enter your name for Your Name and your GT email address for E-mail Address and your GT Account information for User Name and Password

  6. Click the More Settings… button
  7. Enter a descriptive name for these account settings, such as "GT My GaTech"

  8. Go to the Outgoing Server tab and check the box next to My outgoing server (SMTP) requires authentication

  9. Go to the Advanced tab and check both of the server requires an encrypted connection boxes. If you chose to use IMAP, you may optionally enter "INBOX" as the Root folder path. If you do, folders in Outlook will appear in-line with the Inbox. If not, all folders will appear as sub-folders of the Inbox. You should leave this blank if you are using the new Zimbra-based mail system.

  10. Click OK then Next > then Finish

If you have folders other than the Inbox on the server, you may have to quit and restart Outlook before they appear.

To setup a second account to point to your old email server so that you can move saved messages to Zimbra, follow these steps again, but make the following substitutions (SMTP is not enabled on lennon, so settings regarding outgoing server/messages or SMTP can be ignored or set the same as for Zimbra):

Internet E-mail Settings window

  • Incoming mail:          lennon.cc.gatech.edu
  • User Name:    your CoC UNIX username (e.g. gburdell)
  • Password:                  your CoC UNIX password (e.g. what you use to login to lennon)

General tab

  • Choose a non-duplicate name for the account

 

Advanced tab

·       Outlook Express should automatically choose the correct port number for each service, but the correct numbers are as follows.

·       You may have to set your root folder path (typically mail).

Once you have completed these steps, you can drag and drop from your old email home to your new Zimbra email home.



Trouble sending mail

If you are able to receive mail, but are having trouble sending, you can try making one or more of the following changes to the settings. Be forewarned that you may not be able to get it to work, no matter what you do.

  1. On the Outgoing Server tab, click Log on using and manually enter your username and password.
  2. On the Advanced tab, change the Outgoing mail (SMTP) port number to 465 or 587.
  3. Increase the Server Timeouts setting on the Advanced tab.
  4. Uninstall applications that might be interfering with the connection. Examples of this are RealSecure, ZoneAlarm and anti-virus software that monitors your e-mail traffic at the network level. Disabling these programs doesn't always work. The only way to know for sure is to uninstall them.
  5. If you are off campus, using a "Cable/DSL Router", and your ISP requires you to use PPPoE, you may need to adjust your MTU setting. Since this is an issue between your ISP and 3rd party network equipment in your house, it is not supported by OIT, but you can find some helpful information at DSL Reports.
  6. Use your ISP's SMTP server instead of "smtp.mail.gatech.edu". This almost always works, but it may be inconvenient on a laptop that moves around between different networks.
    • On the Advanced tab, under Server Port Numbers, uncheck the This server requires a secure connection (SSL) box.
    • On the Outgoing Server tab, uncheck the My outgoing server requires authentication box.
    • Consult your ISP's web site or call them to determine the hostname of their SMTP server.
  7. Use a different e-mail client, such as Thunderbird or Eudora.
