WHAT HAPPENED?
The OIT ECC team has begun contacting users who still have Zimbra mailboxes, notifying them of the impending migration to Office 365, and of what steps to take pre- and post-migration.  They mistakenly included a small number of CoC faculty and staff who were already migrated to Office 365 (active CoC faculty and staff were migrated in November of 2015).  A copy of the notification can be seen below.

Some CoC faculty and staff were not correctly removed from the migration list.

 
WHAT DO YOU NEED TO DO?
If you were already migrated to Office 365 and mistakenly received one of these emails, please forward the message to the TSO Help Desk so that we can work with OIT to ensure you're not on the list to migrate in June.

Hello!

As of today, May 2 you still have a Zimbra mailbox (<accountName>). This email is to notify you that we will be migrating you to Office 365 Outlook from My GaTech (Zimbra) for email services.

Your migration is currently scheduled to begin on the evening of 06/03/2016, and should be completed by the next business day. If this date does not work for you, you can choose a different date from migration dates located at http://emailtransition.gatech.edu/date_checker.

In order to ensure a successful migration, please refer to the Pre-Migration Checklist ( http://b.gatech.edu/office365prechecklist) to prepare.

To make the transition a success, consider the tips below:

1. Accessing Emails in Zimbra and Outlook

You'll have access to your email before, during, and after the migration. To access your email (both Zimbra and your new Office 365 Outlook mailboxes) visit https://mail.gatech.edu

NOTE: You will continue to have access to Zimbra for 30 days after migration to make adjustments to meetings you scheduled on the calendar prior to migration, to retrieve briefcase data, check schedule availability of current Zimbra users, etc.

2. What to Expect During Migration

1.       You will receive an email when your migration begins.
2.       Simultaneously, your new Office 365 Outlook mailbox will be created. It will be empty initially.  During this time, you can set up email on your desktop, laptop or mobile devices using the instructions found at  http://b.gatech.edu/office365outlooksetup Please note that your username and email address when setting up an account is your gtaccount@gatech.edu (i.e. gburdell6@gatech.edu).  Your actual email address will not be changing.
3.       New incoming messages will go to the new mailbox at that time.
4.       The content will migrate sequentially beginning with Folders, then Contacts, Calendars, and finally Email (starting newest to oldest).
5.       You will receive an email once the content migration is complete.
6.       Any permissions for delegation or calendar shares will be set back up for you, but you will need to add them back to your Calendar list (Open Calendar > Search).  Please remember we can only re-setup calendar sharing for people who are also on Office 365 Outlook.
